We are seeking a highly organized and proactive Project Coordinator to initially support the implementation of a new enterprise Product Lifecycle Management (PLM) system. Reporting to the Program Management Office, the successful candidate will play a key role in coordinating project activities, maintaining governance processes, supporting stakeholder engagement, and ensuring project information is accurate, current, and accessible. This position is ideal for an individual with 3-6 years of project coordination or PMO support experience who thrives in cross-functional environments and enjoys bringing structure, organization, and accountability to complex business and technology initiatives.
Key Responsibilities Project Coordination & Governance - Support the development and maintenance of integrated project schedules, milestones, deliverables, and dependencies. - Track progress against project objectives and communicate schedule impacts or delays. - Maintain project action item, decision, risk, and issue logs, ensuring timely follow-up and escalation where required. - Assist project and workstream leads with planning, status updates, governance activities, and continuous improvement initiatives. - Support preparation and coordination of program reviews, milestone reviews, and program governance meetings.
Stakeholder, Team & Vendor Coordination - Coordinate project meetings, workshops, working sessions, and leadership reviews. - Prepare agendas, capture meeting minutes, document decisions, and communicate follow-up actions. - Assist with project communications, presentations, executive updates, and stakeholder engagement activities. - Facilitate collaboration across engineering, manufacturing, operations, IT, quality, supply chain, and business teams. - Coordinate activities with vendors, implementation partners, and consultants, including tracking commitments and deliverables. - Support change management, user engagement, communication campaigns, training coordination, and adoption activities.
Reporting & Documentation Management - Collect project performance data and maintain project dashboards and reporting tools. - Prepare weekly and monthly status reports, executive summaries, milestone updates, and performance metrics. - Manage project repositories and document control processes to ensure information is organized and accessible.
Qualifications & Experience
Required - Bachelor's degree in Business Administration, Project Management, Engineering, Information Technology, Computer Science, Operations Management, or a related field. Equivalent combinations of education and experience may be considered. - 3-6 years of experience in project coordination, project administration, PMO support, or project management support roles.
Key Competencies
Successful candidates will demonstrate: - Experience supporting PLM, ERP, MES, engineering systems, or other enterprise transformation programs. - Strong understanding of project coordination practices, project lifecycle methodologies, and governance processes. - Ability to influence and coordinate across teams without direct authority - Previous experience working with external vendors, consultants, and implementation partners. - Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment. - Experience in preparing project reports, presentations, meeting documentation, and executive-level communications. - Intermediate to advanced proficiency using MS Office products (MS Project, CoPilot, MS Word, MS Excel, MS PowerPoint) - Experience in using Smartsheet, and Oracle Primavera is considered an asset - Excellent written and verbal communication skills - Strong collaboration and teamwork skills
Security and Compliance Requirements - Canadian Reliability Status (Minimum) is required - Eligibility for Controlled Goods Program (CGP) Registration is required - Ability to handle controlled, sensitive, and export-regulated technical data in compliance with Canadian and international regulations
Working Environment - This role has no direct reports but will work and interact with multi-disciplinary teams. - Working conditions are typical of a downtown Ottawa office environment.
