About the Role
We are seeking a highly professional, reliable, and patient-focused Female Bilingual Medical Receptionist / Front Desk Virtual Assistant to support a busy Women's Health medical practice with two locations.
The ideal candidate will serve as an extension of the practice's front-desk team, handling a high volume of incoming patient calls, scheduling appointments, updating patient information, and ensuring patients receive timely and professional assistance.
This is a fast-paced, patient-facing role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities while working remotely.
Key Responsibilities - Answer a high volume of inbound patient calls across multiple practice locations. - Help prevent missed calls and ensure patients receive timely assistance. - Schedule, confirm, reschedule, and manage patient appointments. - Respond to routine patient questions professionally and accurately. - Enter and update patient information in the practice's EMR system. - Maintain accurate patient charts and appointment information. - Use Nextiva to manage incoming and outgoing practice calls. - Make outbound calls to patients when needed. - Coordinate with the existing front-desk team through Google Chat . - Learn and follow the practice's Women's Health workflows, appointment types, and internal abbreviations. - Provide a professional, friendly, and patient-centered front-desk experience. - Support daily administrative workflows while maintaining patient confidentiality and HIPAA standards.
Ideal Candidate
We are looking for someone who is: - Female and comfortable supporting a Women's Health practice. - Highly organized and detail-oriented. - Comfortable managing a busy phone queue. - Friendly, professional, and confident when speaking with patients. - Able to remain calm and efficient in a high-volume environment. - Proactive about following up and preventing missed patient communication. - A strong team player who can coordinate effectively with an existing front-desk team. - Quick to learn new workflows, appointment types, and medical systems.
Important Note
This role is primarily focused on front-desk operations, inbound calls, patient scheduling, and patient communication . The practice is looking for a dedicated professional who can help manage their phone traffic and provide excellent administrative support rather than someone focused primarily on prior authorizations or insurance verification.

Requirements
Required Qualifications - Female candidate required based on the client's specific staffing preference for this role. - Fluent in English and Spanish , both spoken and written. - Strong English communication skills with a clear, professional, and neutral/American-sounding accent. - Previous experience as a Medical Receptionist, Medical Front Desk Coordinator, Healthcare Virtual Assistant, or similar patient-facing administrative role . - Comfortable handling a high volume of inbound calls in a fast-paced medical environment. - Strong appointment scheduling and patient communication experience. - Experience entering and updating patient information in an EMR/EHR system. - Excellent multitasking, organizational, and time-management skills. - Professional, friendly, and patient-focused communication style. - Comfortable working remotely and collaborating with a team through online communication tools. - Reliable internet connection and a professional remote work environment.
Preferred Qualifications - Hands-on experience with ModMed (Modernizing Medicine) . - Previous experience using Nextiva or similar VoIP/phone systems. - Experience supporting a Women's Health, OB/GYN, or related medical practice . - Familiarity with medical terminology and Women's Health appointment workflows. - Experience working with multiple practice locations or high-volume medical offices.
Benefits
Please note that this is a full-time contractor position (40 hours per week) with a starting rate negociable depending on skillset and experience. The schedule is Monday through Friday, 9am-5pm, EST.
