Job description

We are looking for a Virtual Dental Receptionist / Front Office Administrative Assistant to support an established U.S. dental practice.

This is a highly patient-facing role focused on phones, scheduling, insurance, and day-to-day dental front-office support. The ideal candidate will feel like a true extension of the practice's in-house team—not like a call center representative.

You should be warm, bubbly, professional, and patient , with the ability to communicate confidently with patients and remain calm and empathetic when handling demanding or frustrated individuals.

This is a long-term opportunity for someone who wants to become a trusted member of the dental practice and help reduce the administrative workload for the in-office team.

Key Responsibilities - Handle high-volume inbound and outbound patient calls , including scheduling, general questions, follow-ups, and message-taking. - Schedule new and existing patients , including confirmations, rescheduling, recalls, and reactivation of inactive patients. - Provide a warm, professional, and patient-focused experience during every interaction. - Handle difficult or frustrated patients calmly and professionally, escalating issues when appropriate. - Verify dental insurance eligibility and benefits , including coverage, deductibles, annual maximums, limitations, and other relevant benefits. - Assist with prior authorizations and pre-treatment estimates , including gathering documentation, following up with insurance carriers, and tracking requests. - Maintain accurate patient records in Eaglesoft , including demographics, insurance information, notes, and documentation. - Keep patient information and administrative records accurate and up to date. - Provide general front-office administrative support to help reduce the workload of the in-office team. - Communicate effectively with the dental team regarding patient needs, scheduling issues, insurance questions, and follow-ups.

Requirements

Required Qualifications - 2+ years of U.S.-based dental practice experience. - Previous experience as a Dental Receptionist, Front Desk Coordinator, Patient Coordinator, or similar dental front-office role. - Bilingual English/Spanish is required. - Female candidates preferred. - Strong experience handling inbound and outbound phone calls . - Hands-on experience with dental appointment scheduling . - Experience verifying dental insurance eligibility and benefits . - Experience with prior authorizations and/or pre-treatment estimates . - Excellent spoken English with a professional, friendly, and confident phone presence. - Strong customer service and communication skills. - Ability to remain calm, patient, and professional when dealing with demanding or frustrated patients. - Strong attention to detail and ability to accurately document patient and insurance information. - Ability to work independently in a remote environment while maintaining reliable communication with the dental team.

Strongly Preferred Qualifications - Experience using Eaglesoft . - Patient recall and reactivation experience. - Experience working in a busy, multi-provider dental practice . - Previous experience as a Virtual Dental Assistant (VDA/VMA) . - Experience handling a high volume of calls and patient interactions. - Experience supporting U.S. dental insurance processes.

Benefits

Please note that this is a full-time contractor position (40 hours per week) with a negotiable pay rate depending on skillset and experience. The schedule is Monday through Friday: 8:00 AM–5:00 PM. Some Saturdays may be required.
