Job Description:

Job Title: Chariton Executive Administrative Assistant

Department: Perishable

FLSA : Non-Exempt

General Function:

Performs secretarial duties for Perishable. Also, performs clerical duties for other distribution center departments as needed.

Reporting Relations:

Accountable and Reports to: Director, Perishables, Warehouse Manager, Perishables Warehouse Manager, Freezer

Positions that Report to you: None

Primary Duties and Responsibilities: - Performs administrative duties for perishable warehouse departments including: typing, scheduling, credits, budget information, sales records, inventory records, equipment records and manipulating ice forecasting data. - Schedules meetings, makes appointments, creates power points, graphs and charts for the Distribution Center. - Performs data entry for various weekly, monthly and quarterly reports. - Reports to work when scheduled and on time.

Secondary Duties and Responsibilities: - Orders freezer suits, ice bags and office supplies. - Performs other job related duties and special projects as required.

Knowledge, Skills, Abilities and Worker Characteristics: - Must have the ability to solve practical problems; variety of variables with limited standardization; logical thinking to solve problems; interpret instructions. - Must have the ability to do arithmetic calculations involving fractions, decimals and percentages. - Must have the ability to transcribe dictation; make appointments and process mail; write form letters or routine correspondence; interpret written work instructions. - Must be physically able to perform sedentary work: exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. - Visual requirements include vision from 20 inches or less to 20 feet or more with or without correction. - Must be able to perform the following physical activities: Fingering, talking, hearing, and repetitive motions.

Education and Experience: - High School or equivalent experience. - Basic knowledge of PC word processing and spreadsheet software necessary. - Over one year up to three years of similar or related work experience.

None

Physical Requirements: - Visual requirements include: ability to see detail at near range with or without correction. - Must be physically able to perform sedentary work: operating a computer, occasionally lifting or carrying objects of no more than 10 pounds, and occasionally standing or walking. - Must be able to perform the following physical activities: meeting with customers, kneeling, reaching, handling, grasping, feeling, talking, hearing, and repetitive motions.

Working Conditions:

The duties of this position are performed in an office setting. There is frequent pressure to meet deadlines and handle multiple tasks in a day.

Equipment Used to Perform Job:

PC with word processing, spreadsheet ,Power Point, Microsoft Office software, and e-mail, 10-key calculator, transcriber, telephone, copier, fax, scanner and shredder.

Financial Responsibility:

If job performed incorrectly, could cost the company several thousand dollars. Is responsible for making sure no DOT fines could be assessed for log book violations.

Contacts:

Has daily contact with customers, suppliers/vendors, general public, community or trade/professional organizations, and federal/state governmental or regulatory agencies.

Confidentiality:

Has access to sales records, profit/loss statements, employee evaluations, payroll information, union negotiation information, pricing, and employee records.
