Job Summary
We are looking for an Executive Receptionist to join the Global Safety & Security team at Creative Artists Agency, a leading global entertainment and sports agency headquartered in Los Angeles.
The Executive Receptionist serves as the face of the company, providing an exceptional, polished, and welcoming experience for clients, executives, employees, and guests. The ideal candidate is personable, polished, and engaging, with a sophisticated presence and the confidence to interact seamlessly with CEOs, celebrities, talent, and other high-profile individuals while consistently demonstrating discretion, professionalism, and sound judgment.

Responsibilities
- Serve as the primary point of contact for all guests, clients, executives, and employees entering the office, providing a warm, polished, and professional experience.
- Confidently interact with CEOs, celebrities, talent, VIPs, and other high-profile guests while maintaining strict discretion, confidentiality, and professionalism.
- Manage the visitor check-in process, confirm appointments, notify hosts, and coordinate visitor arrivals and departures.
- Maintain a clean, organized, and highly professional reception area that reflects the company’s standards and brand.
- Support onsite events and high-profile activity by assisting with visitor surges, guest flow, credential verification, and coordination with event organizers, Facilities, and Security leadership.
- Maintain awareness of the reception, lobby, and adjacent areas and follow established workplace access, safety, and security procedures.
- Monitor office access by verifying identification and coordinating with building security regarding visitors, vendors, deliveries, and other access-related matters as required.
- Recognize and appropriately escalate safety or security concerns, suspicious behavior, disturbances, emergencies, or other unusual activity in accordance with established protocols.
- Document and communicate relevant incidents, access issues, and security-related observations accurately and in a timely manner, including escalation to the Global Security Operations Center when appropriate.
- Provide general office assistance and support executive visits, meetings, special projects, and other activities to ensure a seamless and elevated workplace experience.
Requirements
- Prior experience in luxury hospitality, concierge, executive reception, private clubs, hotels, or other high-end client-facing environments.
- Familiarity with visitor management systems and standard office technology.
- Warm, highly personable, and engaging personality with exceptional interpersonal and communication skills.
- Exceptional professionalism, polished presentation, social awareness, and discretion.
- Experience supporting VIPs, celebrities, executives, or other high-profile clients.
- Strong judgment, maturity, confidentiality, attention to detail, and ability to remain composed in a fast-paced environment.
- Highly organized, dependable, proactive, and service-oriented.
- Strong situational awareness with the ability to recognize and appropriately respond to potential safety or security concerns.
- Ability to follow established workplace access, safety, and security procedures while maintaining a welcoming and professional front-of-house experience.
