<p></p> <p><strong>Position Title: Office Coordinator (London)</strong></p> <p><strong>Entity: Kroll Bond Rating Agency UK Limited</strong></p> <p><strong>Employment Type: Full-time</strong></p> <p><strong>Location: London, United Kingdom</strong></p> <p><strong><u>Summary/Overview:&nbsp;</u></strong></p> <p>KBRA is seeking a highly organised and proactive Office Coordinator to support our London office as well as KBRA-hosted and sponsored events. This individual will manage day-to-day office operations, creating a seamless, professional experience for employees and visitors, in addition to assisting with logistics for both internal and external events (and event attendees, as needed). &nbsp;</p> <p><span style="text-decoration: underline;"><strong>About the Job:</strong></span></p> <p><strong>Event Support</strong></p> <ul> <li>Assist with tasks in the lead-up to KBRA-hosted and sponsored events, and provide on-site support as needed.</li> <li>Printing and preparing materials, name badges, and supplies for conferences and events.</li> <li>Managing shipping of materials and supplies to and from the office or event locations.</li> <li>Manage event-related orders, stationery, and supply inventories.</li> <li>Source and liaise with suitable vendors for in-office events and initiatives.</li> <li>Coordinate food and beverage orders, liaise with caterers, and manage event setup for internal gatherings (e.g., monthly lunches, breakfasts, after-work events).</li> <li>Support the planning and coordination of quarterly social events.</li> <li>Handle ad hoc tasks and administrative duties related to event planning and logistics.</li> <li>Such other tasks and responsibilities as arise from time to time in connection with the above.</li> </ul> <p><strong>Office Administration</strong>&nbsp;</p> <ul> <li>Serve as front-of-house support, including visitor management, handling incoming calls for London and managing deliveries.</li> <li>Administer internal catering and supply accounts.</li> <li>Manage office operations, including stationery orders, photocopier paper replenishment, and grocery orders.</li> <li>Liaise with Building Management and cleaning/facilities vendors in London on maintenance issues and send internal communications, as needed.</li> <li>Coordinate with couriers for and manage inter-office shipments.</li> <li>Maintain service schedules for equipment and confirm compliance with OH&amp;S standards.</li> <li>Set up and reset meeting rooms, and coordinate catering for meetings, including quarterly board and audit committee meetings.</li> <li>Support diary management for as needed.</li> <li>Assist with ad hoc administrative or office support tasks across the London office</li> <li>Liaising with Corporate Hotels to renew rates on annual basis.</li> <li>Assist with, and monitor, the London office’s implementation and development of sustainability goals.
