To apply through iCIMS, open the job on the employer’s career portal, select the apply button (usually “Apply for This Job Online”), enter your email address and create a login for that employer. Upload your resume first so the portal can fill in part of your profile, correct what it got wrong, answer the screening and job-specific questions, and submit. A confirmation page tells you the application went through.

Every employer runs its own iCIMS portal with its own logins. The account you made at one company will not open another company’s portal, and the steps and button names vary from one portal to the next.

## Key takeaways

- You need a separate login for each employer that uses iCIMS. iCIMS says logins are not shared among employers.
- Upload your resume before you type anything. The portal can fill profile fields from it, and you fix the rest by hand.
- “Finish Later” saves an application in progress. Nothing is submitted until you see the confirmation page.
- The candidate dashboard is where you check status, update your profile, continue an unfinished application and, where the employer allows it, withdraw.
- A password reset link expires after eight hours, or as soon as you request another one.

## How iCIMS works for candidates

iCIMS is an [applicant tracking system](https://jobbie.bot/blog/what-is-an-ats): software an employer uses to post jobs, collect applications and move candidates through hiring. You never apply “to iCIMS.” You apply on a career portal that the employer has branded and configured, often on an address that includes icims.com.

First, your profile lives with one employer. iCIMS states that you set an individual login name and password for each employer and that, for security reasons, there is no shared login among them. Ten employers means ten accounts.

Second, no two portals are identical. iCIMS’s own candidate guide warns that the appearance, the required steps and even the names of the buttons differ by company. Treat the steps below as a map and trust what your screen shows.

The portals work on a computer, tablet or phone. Fields marked with an asterisk are required.

| What you see | What it does |
| --- | --- |
| “Apply for This Job Online” | Starts the application. If you are not logged in, it may ask for your email first to see whether you already have a profile |
| “Log Back In!” | The login link for returning candidates, usually at the top right |
| “Finish Later” | Saves your progress at certain steps so you can leave and come back |

## How to apply on iCIMS, step by step

1. **Find the job on the employer’s portal.** Search by keyword or location, or choose “View All Open Positions.” Click the job title to read the full posting.
2. **Log in first if you have applied to this employer before.** Select “Log Back In!” so the new application goes on the profile you already have.
3. **Select “Apply for This Job Online.”** If the portal asks for your email, enter the address you want this employer to use. It checks whether you are new or returning and sends you to the right next step.
4. **Create your profile.** Enter your name and email, then choose a login and password. Many portals also let you start with a Facebook, Google, LinkedIn or Microsoft account. That shortcut passes over limited details such as your name and email address, and you still complete the rest.
5. **Upload your resume before filling in other fields.** You can usually pick a file from your device, Google Drive, Dropbox or OneDrive. The portal may fill some profile fields from the resume, which is why iCIMS recommends uploading it first.
6. **Check every field the portal filled in.** Parsing is a head start, not a finished profile. Correct dates, job titles and contact details, complete the required fields, and select “Update Profile.”
7. **Answer the questions on the following pages.** Expect screening questions, EEO (equal employment opportunity) information and questions specific to the job.
8. **Submit and wait for the confirmation page.** A message confirms that the application was submitted. Some employers also send a confirmation email.

> **Tip:** Use one email address per employer. The email check in step 3 is how the portal recognizes you, so a second address can leave you with two profiles.

If parsing keeps scrambling your work history, simplify the file; see how to build an [ATS-friendly resume](https://jobbie.bot/blog/ats-friendly-resume).

## What you can do from the candidate dashboard

After you log in, “Dashboard” appears at the top right. The options depend on the employer, but iCIMS lists these as the standard ones:

- **Update Your Profile:** change contact details or replace your resume.
- **View Current Job Opportunities** and **View Your Job Recommendations:** browse openings without leaving your account.
- **Update Your Personal Screening Questions:** revise answers you gave earlier to general questions.
- **Manage Your Email Subscriptions:** choose which emails you receive.
- **Continue Application:** pick up an application you left with “Finish Later.”
- **Withdraw:** take yourself out of consideration for one job.

The last two appear in your list of past job submittals, where they apply.

The same list is where you check progress. One employer that uses iCIMS, Fred Hutch, tells applicants the dashboard shows every job they have applied for, along with the application status and the associated dates and times. iCIMS’s candidate guide does not define the status labels, so if one is unclear, start with [what common application statuses mean](https://jobbie.bot/blog/application-status-under-consideration).

Check how your resume is stored before you apply to a second role at the same company. Fred Hutch, for example, says its system accepts one uploaded resume per candidate, which you can replace or supplement with another attachment. Where that is the case, replacing the file changes the resume on your profile, not only on your newest application.

> **Watch out:** At the bottom of the email subscriptions page is an option to unsubscribe from all mass email. iCIMS warns that choosing it can also stop notices about interviews and future openings when those go to several people at once. Leave it unchecked while you have live applications.

## Common iCIMS problems and how to fix them

| Problem | What to do |
| --- | --- |
| You forgot your login or password | On the employer’s login page, select “Forgot Your Password?” or “Reset Password” and enter the email you used on that portal. iCIMS emails your login name and a reset link |
| The reset email has not arrived | iCIMS says to try again if nothing arrives within five minutes, and to check your spam folder. Make sure you entered the address tied to that employer’s profile |
| The reset link no longer works | Links expire after eight hours, and a newer request cancels the older link. Request one more and use it right away |
| The portal will not accept your email address | iCIMS does not support addresses with accented characters, such as josé@email.com. Use an address without them |
| The job page will not load | Fred Hutch’s advice for its iCIMS portal: allow cookies, clear your browser cache, restart the browser, and use Firefox, Chrome or Safari |
| You withdrew by mistake | Fred Hutch tells applicants to log in and reapply from the dashboard if the job is still listed |

## What happens after you submit

The confirmation page is your proof. Take a screenshot, note the date, and record the role along with the login you used for that portal. You will need that login again to read the status.

From here the decision sits with the employer’s recruiters, so questions about a specific role go to the company, not to iCIMS. If the dashboard has not changed after a reasonable wait, this guide to [following up on a job application](https://jobbie.bot/blog/job-application-follow-up) covers timing and wording.

If you need to pull out and your dashboard shows no “Withdraw” action, ask in writing:

```Email to withdraw an application
Subject: Withdrawing my application: [Job title], [Job ID]
Hi [Name],
Please withdraw my application for [Job title] ([Job ID]), submitted on [date] with the email address [address]. Thank you for your time. I would be glad to be considered for future roles.
Best,
[Your name]
```

Other enterprise systems have their own quirks: see the guides to a [Workday job application](https://jobbie.bot/blog/workday-job-application) and a [Taleo job application](https://jobbie.bot/blog/taleo-job-application).

> **With Jobbie:** Jobbie does not submit applications on iCIMS, so the steps above are yours to do by hand. ## Frequently asked questions

### Do I need a new account for every company that uses iCIMS?

Yes. iCIMS says you set an individual login name and password for each employer and that logins are not shared among employers. If you have never applied to a company before, select the apply button on one of its jobs and create a new profile, even if you already have iCIMS logins elsewhere.

### Can I save an iCIMS application and finish it later?

Usually. At certain steps you can select “Finish Later” to leave the application and return to it. To resume, log in to that employer’s portal, open the dashboard and choose “Continue Application” next to the job. Nothing is submitted until you finish and see the confirmation page.

### How do I check the status of an iCIMS application?

Log in to the career portal of the employer you applied to and open the dashboard. It lists the jobs you have applied for, and employers can show a status next to each one. Each employer’s portal has its own login, so check every application on the portal where you submitted it.

### How do I reset my iCIMS password?

Go to the login page of the employer’s portal and select “Forgot Your Password?” or “Reset Password.” Enter the email address you used on that portal. iCIMS sends your login name and a reset link. The link expires after eight hours or when you request another, so use the newest email. If nothing arrives within five minutes, check spam and try again.

### Can I withdraw an application on iCIMS?

Often, yes. Where it is available, a “Withdraw” action appears next to the job in the past submittals list on your dashboard. If you do not see it, email the recruiter or the employer’s HR team and ask to be withdrawn. Withdrawing from one job does not delete your profile.
